Use of Company email is essential for the success of an online business
When you start a company, you are no longer you. You become a representative of a company. When people are contacting the company, they are not contacting you. You have to learn how to keep your personal and business life separate. If you don’t you will end up in a big mess. Having that said, how many of you have seen most successful companies use their company email. Such as chris@microsoft.com, or syed@balkhis.com. Well if you own multiple websites, it kind of gets hard to keep up with them. Like I have Balkhis and Uzzz Productions. It tends to get hard to keep up with both of my company emails and keep track of my personal email. I have to switch out from my mailing accounts over and over to stay updated. Well now I am going to tell you something that I have been using which can do it all.
GMAIL – yup it is Google Mail.
No I am not going to tell you guys to set up an account with google using your domain. But I have an alternative way which you all can use efficiently and it is much easier. When I started the company, I had to get a company bank account, so I thought I should make a separate gmail account also for the company. While I was doing that, I put all the business related stuff in there. What I have done is I have forwarded all of my company email to this one email. So Uzzz Production email and Balkhis email all goes to this one gmail account, and then when I reply back, I can reply using gmail, but it shows my company email.
I will show you how you can do that in this post.
First Sign up for a Gmail account (one which is not personal)
Then use your Cpanel email service to forward your company email.
Click on the Settings link on the top right corner

Click on the tab called Accounts

Click on the link called Add another email address

Make sure you check this it is on the same page once you have added the email

Once you have done that, Google will send you an email at the company email for verification. But since you have already forwarded that email to your gmail account, it will show up in this account, so either use the code, or click the link. (Using the code to verify works faster)
Now you don’t have to ever login to your cpanel email ever again. Because when you recieve a message it will be at gmail, and when you respond to them it will be sent out from a company email (making it look more professional). If you want to compose a message, meaning send a new message, Click compose in your gmail account. You will see by From a select box. Select the email it is from. Write your message and send.

Now if you download Google Talk, and then keep your business account signed in there. You will see notifications of new email recieved right in your quick launch icon area.
Now coming back to your personal account. I use outlook to keep track of that. So I can stay logged into both of them at the same time.
Why should you use it? Gmail have much better email search feature than the normal cpanel webmail services does. This is the quickest way, and it is much more reliable. By setting the system this way, you can now keep yourself updated with the recent email because now you see it all at one place.

Nice tip Syed. This way you don’t have to worry about changing the MX records in DNS settings as is required if using google.com/a
My domain provider doesn’t allow DNS to be setup for free (charges 50Rs.). I’ll try this out

I like the tip – I have 6 or seven different accounts that I run through one email program and switching between them is just clicking on another mailbox.
It is always nice to have different choices to manage all that email though.
i think google apps is the best solutions. i already sign up google apps but still enjoy using @gmail for all outgoing email.
i am worried if someday company email meet problems, likes not renew hosting. our email will deleted by hosting provider.
most host providers give you some time. I remember when I had an issue with paypal and all subscription got cancelled. My host was very nice, and said no problem. Besides I am their one of the early customers who have sticked with them for over a year, so they gave me some time. I paid them as soon as my paypal was fixed.

Thats a great tip. I usually like to pool my email accounts together considering I keep Paypal and Blog and School and Personal email all separate so it can get hard tracking everything!
I forgot to add that sometimes if you have a blog, you can also use email forwarders to accomplish the same task. You can have a professional email forward to your main email account.
Why have a separate email for paypal? Any particular reason?
Umm I just like to keep paypal separate for personal reasons. Nothing in particular.
